Pass the agreed appointment time and format, approved contact and location details, the homeowner’s stated goal, relevant questions, and a named follow-up owner. Clearly distinguish what the homeowner confirmed from information that still needs review.
Start with the homeowner’s understanding
Write what the homeowner expects to discuss. An interest in backup power is different from a request to review a high electric bill. Record unresolved questions in plain language, and avoid turning a tentative interest into a claim that the homeowner is ready to buy.
The closer should be able to explain the meeting purpose without contradicting the setter. If the homeowner was given inaccurate information, identify the issue for correction through the approved process rather than hiding it in an optimistic appointment label.
Confirm the logistics together
Check the date, local time, meeting format, and location or virtual meeting details. Make sure the contact information is accurate and that everyone understands the next step. A rescheduled appointment should replace the outdated plan so the team is not working from conflicting records.
Ask during recruiting which scheduling tools the team uses and who can change an appointment. Find out how last-minute updates reach the assigned closer. Merely placing information in a note may be insufficient if nobody is responsible for reviewing it.
Separate facts from assumptions
Use clear labels for information that was stated, confirmed, or still needs review. Do not infer property suitability, financing approval, or a final system design from a short outreach conversation. Those decisions require the appropriate process and supporting information.
Record only information relevant to the consultation in the approved system. Avoid collecting sensitive documents just to make an appointment look complete. Ask what the actual intake requirements are for your team and role.
Close the feedback loop
After the appointment, a setter benefits from knowing whether it was held and whether the handoff was useful. A manager can review repeated gaps, such as unclear meeting purposes or missing schedule changes, and coach the process.
In a recruiting conversation, ask to see an anonymized example of an accepted handoff and the feedback a setter receives. Also ask how acceptance and held-appointment status affect compensation. Clear definitions help everyone discuss quality using the same terms.
Common questions
Is a booked appointment a qualified sale?
No. Booking, qualification, consultation, sale, and installation are separate stages.
Who should handle a last-minute change?
The team should define an owner and an update channel. Ask for that process before you start setting appointments.
